Toolbar
The Gantt toolbar provides quick access to all major scheduling, formatting, resource, and reporting tools you need for building and managing your project plan. Below is an overview of each button and its purpose.
1. Structure & Navigation Tools
Collapse / Expand
- Quickly collapse or expand your project structure.
- Use the drop-down to select the hierarchy level you want to show or hide.
Add Task
- Inserts a new taskinto your project.
Delete Task
- Removes the selected task or group of tasks.
Indent / Outdent
- Indent: Converts a task into a child task.
- Outdent: Moves a task back to a higher level in the hierarchy.
Zoom Controls
- Zoom to Fit: Zooms out to show the entire project timeline.
- Zoom In / Zoom Out: Adjusts the zoom level of the Gantt chart.
2. Scheduling Tools
Automatic Scheduling
- Tasks follow dependencies, calendars, and constraints automatically.
Manual Scheduling
- Tasks do not follow calculated scheduling rules.
- Dates must be set manually (constraints disabled).
Link Tasks
- Link task creates a dependency between selected tasks.
Unlink Tasks
- Unlink task Removes the dependency between selected tasks.
Task Information
- Opens the Task Information dialog box (General, Predecessors, Resources, Advanced settings).
3. Highlighting & Filtering Tools
Highlight Tasks
Use this to visually highlight specific groups of tasks in blue, such as:
- Active tasks
- Completed tasks
- Incomplete tasks
- Critical tasks
- Overdue tasks
- Milestones
- Tasks within a Date Range (set in dialog box)
Highlight by Resources:
- Search for a resource → select it → all tasks using that resource will be highlighted.
Filter Tasks
- Works the same way as Highlight, but hides all non-matching tasks.
- Includes filters for status, dates, milestones, resources, and more.
4. Formatting Tools
Resets or applies text formatting to selected tasks:
- Bold
- Italic
- Underline
- Strikethrough
- Text color
5. Baselines & Project Tracking
Baselines
- Shows all available baselines in the project.
Create Baseline
- Saves a snapshot of your project’s planned start, finish, and duration.
- Used for tracking progress over time.
Show Project Markers
- Displays start and end markers for each project when managing multiple projects in a single Gantt.
6. Critical Path & Slack
Highlight Critical Path
- Shows critical tasks in the schedule using red Gantt bars.
Show Slack
- Displays slack (float) as striped bars next to tasks.
7. Task Rollup & Structuring
Split Tasks
- Splits a task to show child tasks overlapping the parent (visible when collapsed).
Rollup Tasks
- Rollup displays child task bars on the summary (parent) task line.
- Can be applied via toolbar or inside Task Information → Advanced.
8. Calendars & Resources
Manage Calendars
- Opens the project calendar settings.
- Allows editing working hours, exceptions, and assigning calendars.
Resource List
- Opens the resource sheet containing all project resources.
Resource Schedule
- Displays the Resource Usage (Resource Schedule) view.
- Shows resource workloads, assignments, and overallocations.
