Resources in Methvin Gantt

Resources are the people, materials, or costs required to complete your project. You can add users from your group as resources, create custom resources, assign calendars, and manage workloads.

Add a Resource

  1. Go to the Resource option in the toolbar.
  2. In the Resources List window, you’ll see available options:
    • Add User: Adds a user from your group into the project as a resource.
    • Add Custom: Creates a custom resource (e.g., equipment, material, or other).
    • Delete: Removes the selected resource from the list.

Edit a Resource

  • Rename Resource: Double-click on the resource name to edit it.
  • Change Calendar: Click on the calendar drop-down beside the resource name to assign a different calendar (e.g., Night Shift, 24 Hours, or any custom calendar you created).
  • Click Save to apply changes.

Assign a Calendar to Specific Resources

Some resources may not follow the organization’s default working hours. For example:

  • A person working night shifts.
  • Someone on a compressed schedule (four 10-hour days).
  • Equipment that runs 24/7.

By assigning a different calendar to a resource, you ensure tasks scheduled for them respect their actual availability.

Resource Schedule & Workload

To track how resources are being used across your project, use the Resource Schedule. Open the Resource Schedule option to view workloads, Tasks assigned to each resource and Workload distribution based on assignments.

  1. In the toolbar click Resource Schedule.
  2. In the table, review the resource names and their assigned tasks.
  3. In the timescale portion, check how work is allocated over the selected time period.
  4. Overallocated resources are shown in red. Overallocation happens when a resource’s maximum units are exceeded (for example, assigned 12 hours of work in a single 8-hour day). In these cases, the resource may need to be leveled or the assignments adjusted.
  5. To refine resource usage, double-click a task to open Task Information. Under the Resources tab, you’ll see all assigned resources with a Units (%)
    • This field controls how much of the resource’s working time is allocated to that task.
    • Example: If a resource works 8 hours per day and you set Units to 50%, the resource will spend 4 hours per day on that task.
  6. Adjust Units as needed to balance workloads and avoid overallocation.
