Appendix A: Status & Ownership Reference
Status Lifecycle
The standard status lifecycle for an RFI is Draft → Open → Response Pending → Closed. On Hold (custom status), Reopened, and Withdrawn (custom status) are optional states that branch off the standard flow at various points, depending on project configuration.
Ownership Transitions
Action | Effect on Ownership |

Sending a new RFI | Ownership moves to the Assigned To party. |
Replying to an RFI | Ownership moves to whoever you reassign to. |
Marking as On Hold (custom status) | Ownership remains with the current owner; due-date alerts may pause. |
Marking as Closed | No further ownership applies; item is removed from open metrics. |
Reopening an RFI | Ownership returns to the originator unless reassigned. |
Withdrawing (custom status) an RFI | Ownership ends; item retained in records for audit. |
Appendix B: Notification Matrix
The table below summarises which events generate notifications by default. Administrators can adjust these defaults at the project level, and individual users can fine-tune them in Settings → Notifications.
