Appendix A: Status & Ownership Reference

Status Lifecycle

The standard status lifecycle for an RFI is Draft → Open → Response Pending → Closed. On Hold (custom status), Reopened, and Withdrawn (custom status) are optional states that branch off the standard flow at various points, depending on project configuration.

Sending a new RFI

Ownership moves to the Assigned To party.

Replying to an RFI

Ownership moves to whoever you reassign to.

Marking as On Hold (custom status)

Ownership remains with the current owner; due-date alerts may pause.

Marking as Closed

No further ownership applies; item is removed from open metrics.

Reopening an RFI

Ownership returns to the originator unless reassigned.

Withdrawing (custom status) an RFI

Ownership ends; item retained in records for audit.

Appendix B: Notification Matrix

The table below summarises which events generate notifications by default. Administrators can adjust these defaults at the project level, and individual users can fine-tune them in Settings → Notifications.
