8. Best Practices

8.1 Writing Clear Commercial Content

  • Write the Scope of Work so a client with no construction background could still understand what’s being delivered and by when.
  • Use Exclusions as actively as Inclusions — an unstated exclusion is a common source of scope disputes later in a project.
  • Keep Notes for information that genuinely helps the client or your team; put anything contractual into Terms and Conditions instead.

8.2 Formatting for the Client

  • Match the pricing layout to the audience: Lump Sum for a straightforward client decision, Full Schedule or Show Resources for a client who needs to see the detail behind the number.
  • Turn on Show Styles and Show Icons for longer, multi-section quotes so the client can scan the document, and consider turning them off for a short, simple one.
  • Use Section Order to move the Summary or Pricing Table earlier in the document if the client cares most about the bottom line, rather than leaving the default order in every quote.
  • Choose a Style Preset in Preferences that suits the client before you export — a lighter preset with coloured text only is often easier to read on a printed quote than tinted backgrounds.

8.3 Before You Send

  • Switch to PDF view and check every page — column widths, page breaks and the Landscape/PDF font settings only show up here, not in HTML view.
  • Confirm the correct client is attached from the Contact List before exporting or sharing, especially on a project with several client-side contacts.
  • Use Save as Template once you’re happy with a Design/Commercials/Options combination that works well for a particular type of quote, so future quotes start from the same baseline.
  • Use Edit Content to remove any header details or columns the client should not see, then click Done Editing and re-check the quote in PDF view — a change is only applied once editing is finished.
