Frequently Asked Questions

Can I edit an RFI after sending it?

Edits to the original message are restricted to preserve the integrity of the record. You can add further information through replies or internal notes, and corrections of fact should be made transparently in the thread rather than by silently editing earlier content.

What happens if the person I assign an RFI to leaves the project?

When a user is removed from a project, items they own are typically reassigned to a designated successor or to the project administrator. Until reassigned, the items remain visible in the Overdue widget so they are not forgotten.

Can I assign an RFI to more than one person?

Each RFI has a single Ball-in-Court owner at any one time, by design — multiple owners create the same ambiguity that the application is intended to remove. You can copy additional people on the thread for visibility, or use mentions to draw a specific person’s attention without transferring ownership.

How do I make sure I never miss an item?

Check your Dashboard at the start of each day. The combination ensures that items requiring your attention are surfaced at predictable times rather than buried in your inbox.

Can I export the full project history at the end of a job?

Yes. Use the Complete RFI Log report combined with the Activity Report, both of which can be exported to Excel and PDF. Administrators can also request a full archive of the project, including attachments.

What is the difference between a reminder and reassigning?

A reminder leaves ownership unchanged and politely nudges the existing owner. Reassigning transfers ownership to a new party, typically when the original owner is unavailable or when a different party is better placed to respond.

Can I use the application offline?

The application requires an active connection for most actions. Exported PDFs and downloaded files can of course be viewed offline, and any work-in-progress drafts are typically retained until you next reconnect.
