6. Sharing and Exporting the Quote

6.1 Previewing in HTML and PDF

Use the HTML / PDF toggle above the preview to switch between the two ways of reviewing your quote:

HTML view

An editable, single-scroll view of the quote. This is where you type directly into Scope of Work, Inclusions, Exclusions and Notes, and where all of your Design, Commercials and Options changes appear immediately.

PDF view

A paginated, print-accurate preview of exactly what will be exported or downloaded, complete with a page thumbnail panel on the left, page count and zoom controls, and print/download/share icons along the top toolbar.

From the PDF preview toolbar you can zoom in or out and jump between pages using the thumbnail panel, print the document directly, download a copy to your computer, or use the share and more-options icons for further export actions.

6.2 Exporting as PDF

Click Export PDF at the top of the Share panel (left-hand side, in HTML view) to generate a print-ready PDF copy of the quote in one click, without opening the PDF preview first — useful for offline use, printing, or attaching to an email yourself.

⚠️ Important

Always check the PDF preview before sending a quote — page breaks, column widths and the Landscape/PDF font settings from the Options panel only become visible once you switch to PDF view.

6.3 Attaching a Client and Sharing

Click Clients at the top of the Share panel, or the orange client icon in the top-right of the quote header, to open the Contact List.

  1. The Contact List shows every contact available to you, with Job Title, Full Name, Company, Country/Region, Phone and Email columns, and a running count of contacts (for example “9 contacts”).
  2. Use the left-hand tabs to browse by Contacts, Groups or Trades, or use the search box and the All Fields / Own Contacts filters to narrow the list down.
  3. Tick the checkbox next to the contact (or contacts) you want to attach to the quote.
  4. Use Create Contact List to save the selected contacts as a reusable list, or Add Contact to create a brand-new contact if the person you need isn’t listed yet.
  5. Use the edit and delete icons in the Actions column to update or remove an existing contact.
📌 Note

Attaching a client here is what lets the quote populate the client’s name and email in the document header, and is required before sharing the quote directly to that contact.
