Permissions & Access

User Roles

The application uses role-based permissions. The most common roles are:

Role

Typical Capabilities

Administrator

Full configuration access including users, roles, project settings, and workflow rules.

Project Manager

Create, edit, reassign, and close RFIs across the whole project. Access to all reports.

Contractor

Create and respond to RFIs, upload files, view items they are involved in.

Consultant

Respond to RFIs assigned to them, raise queries, view items they are involved in.

Viewer

Read-only access to RFIs and reports. Cannot create, reply, or edit.

External Parties

External parties such as suppliers or sub-consultants can typically be granted limited access to specific RFIs without seeing the rest of the project. This allows safe collaboration while preserving confidentiality.

When replying to an RFI, if you do not tag or mention a specific client, they will only be able to see that individual response. They will not have access to the rest of the thread.
